689Cloud SecureMail is an add-in for Gmail and Microsoft Outlook that secures email attachments using Information Rights Management (IRM) technology. Instead of attaching files directly, SecureMail replaces attachments with a secure link through which authorized recipients can view or download the protected files. Key capabilities include: Access Control: Only designated email recipients can access shared files, with the option to set view-only or downloadable modes. Copy & Re-sharing Prevention: Downloaded files are encrypted and require cloud authentication, blocking unauthorized redistribution. For Microsoft Office files, copy/paste and screen capture functions are disabled. Tracking: All file access events are logged, including online views, downloads, and local device openings. Revocation: File access can be revoked at any time, including after a file has been downloaded to a recipient's device. Secure Online Viewer: Files can be set to online view-only mode, which blocks downloads and disables browser developer tools. Two-Factor Authentication: Document access requires 2FA or login to prevent unauthorized viewing. Printing Control: Printing can be disabled, including virtual printing to PDF. Expiry: An expiry date can be set, after which files become inaccessible regardless of whether they were downloaded. Watermarks: Dynamic watermarks displaying the viewer's email and access date/time are overlaid on documents to deter screen capture. Large File Support: Files up to 1GB can be sent, supporting formats including PDF, Word, Excel, and PowerPoint.
