MailGuard SafeGuard is a cloud-based email archiving and retrieval service designed to help organisations meet legal and regulatory compliance requirements through secure, long-term email storage. The service captures every inbound and outbound email in real time, storing messages in an encrypted, forensically intact state. Emails are stored exactly as sent or received without hashing or modification, preserving their evidentiary integrity. Archives are hosted across geographically dispersed Tier 4 data centres using double-encrypted WORM (Write Once, Read Many Times) storage, which prevents archived messages from being deleted or altered. This architecture protects against accidental or intentional data loss, including emails deleted from primary mail servers or workstations. Email retrieval supports searching by sender, recipient, date, time, subject, body content, and attachments. Attachment indexing covers Microsoft Word, Excel, PowerPoint, PDF, HTML, and plain text files, as well as embedded emails. Attachments that cannot be indexed are still archived. Additional features include a Replay functionality that allows re-sending original emails directly from the archive to internal recipients, and a Zip Manager that enables users to compile emails from multiple searches and download them as a single ZIP or EML file. Standard storage retention starts at 3 years with unlimited capacity, with longer retention periods available under a retention agreement. The service is governed by a Service Level Agreement (SLA) guaranteeing 100% archiving and uptime.
